TheFairFactory, LLC (the “Company”) is committed to maintaining robust privacy protections for its users. Our Privacy Policy (“Privacy Policy”) is designed to help you understand how we collect, use and safeguard the information you provide to us and to assist you in making informed decisions when using our Service.

For purposes of this Agreement, “Site” refers to the Company’s website, which can be accessed at www.myreem.ai or through WhatsApp number +1(302) 722-0876.

“Service” refers to the Company’s services accessed via the Site, in which users can use Reem as an AI assistant that helps professionals manage their relationships by organizing contacts, notes, and reminders through WhatsApp, making follow-ups and networking easier.

The terms “we,” “us,” and “our” refer to the Company.

“You” refers to you, as a user of our Site or our Service.

By accessing our Site or our Service, you accept our Privacy Policy and Terms of Use (found in the footer of our website), and you consent to our collection, storage, use and disclosure of your Personal Information as described in this Privacy Policy.

We collect “Non-Personal Information” and “Personal Information.” Non-Personal Information includes information that cannot be used to personally identify you, such as anonymous usage data, general demographic information we may collect, referring/exit pages and URLs, platform types, preferences you submit and preferences that are generated based on the data you submit and number of clicks. Personal Information includes your name, phone number, email address, and any contact details or notes you share with Reem through WhatsApp or our website during registration or use of the Service.

1. Information collected via Technology

To activate the Service you do not need to submit any Personal Information other than your mobile number. To use the Service thereafter, you do need to submit further Personal Information, which may include: names, phone numbers, email addresses, and any contact details or notes you share with Reem. However, in an effort to improve the quality of the Service, we track information provided to us by your browser or by our software application when you view or use the Service, such as the website you came from (known as the “referring URL”), the type of browser you use, the device from which you connected to the Service, the time and date of access, and other information that does not personally identify you. We track this information using cookies, or small text files which include an anonymous unique identifier. Cookies are sent to a user’s browser from our servers and are stored on the user’s computer hard drive. Sending a cookie to a user’s browser enables us to collect Non-Personal information about that user and keep a record of the user’s preferences when utilizing our services, both on an individual and aggregate basis.

The Company may use both persistent and session cookies; persistent cookies remain on your computer after you close your session and until you delete them, while session cookies expire when you close your browser.

2. Information you provide us by registering for an account

In addition to the information provided automatically by your browser when you visit the Site, to become a subscriber to the Service you will need to create a personal profile. You can create a profile by registering with the Service and entering your email address, and creating a user name and a password. By registering, you are authorizing us to collect, store and use your email address in accordance with this Privacy Policy.

3. Children’s Privacy

The Site and the Service are not directed to anyone under the age of 13. The Site does not knowingly collect or solicit information from anyone under the age of 13, or allow anyone under the age of 13 to sign up for the Service. In the event that we learn that we have gathered personal information from anyone under the age of 13 without the consent of a parent or guardian, we will delete that information as soon as possible. Google Contacts and Calendar Access

Reem offers optional integration with Google services to enhance your experience. This integration is entirely optional, and you have full control over when you connect your Google account.

What Google Data We Access

When you choose to connect your Google account, Reem requests the following permissions:

Google Contacts (https://www.googleapis.com/auth/contacts):
This scope provides Reem with read and write access to your Google Contacts, including:

• Names, email addresses, phone numbers, and other contact information
• Contact notes and custom fields
• Organization and job title information
• Contact groups and labels
• Ability to create, update, and delete contacts on your behalf

Google Calendar (https://www.googleapis.com/auth/calendar.events):
This scope provides Reem with read and write access to your calendar events, including:

• Event titles, descriptions, and locations
• Event dates, times, and durations
• Event attendees and their responses
• Recurring event patterns
• Ability to create, update, and delete calendar events on your behalf

Important: Both scopes include write access, which means Reem can modify your contacts and calendar events based on your instructions through WhatsApp. You maintain full control and can revoke these permissions at any time.

How We Use Google Data

We access your Google data solely to provide and improve Reem's services:

Contact Management:

• Help you quickly find and reference contact information when you ask "Who is [name]?"
• Create new contacts when you share information like "Add Sarah Jones, sarah@company.com"
• Update existing contacts when you provide new details like "Update John's email to..."
• Provide context about your relationships and professional network
• Set reminders to follow up with specific contacts
• Organize and categorize your contacts

Calendar Integration:

• Show your upcoming schedule when you ask "What's on my calendar?"
• Help you find available time slots for meetings
• Create calendar events on your behalf when you say "Schedule a meeting with..."
• Update events when you need to reschedule or modify details
• Set reminders based on your calendar events
• Provide context about upcoming meetings and attendees

AI-Powered Assistance:
We use artificial intelligence services to process your requests and provide intelligent responses. When you ask Reem questions that require access to your Google data, that information may be processed by our AI service providers (currently OpenAI and/or Anthropic Claude) to generate responses.

Important: Your Google data sent to AI providers is:

• Used only to generate responses to your specific requests
• Not used to train AI models
• Processed according to our AI providers' enterprise data processing agreements
• Encrypted in transit and at rest

Third-Party Data Sharing

We do NOT:

• Sell your Google data to advertisers or data brokers
• Use your Google data for marketing purposes unrelated to Reem
• Share your Google data with third parties except as described below

We DO share Google data with:

• AI Service Providers (OpenAI, Anthropic): To process your queries and generate intelligent responses. These providers operate under strict data processing agreements and do not use your data for training their models.
• Cloud Infrastructure Providers (e.g., Google Cloud, AWS): To securely store and process data necessary for the Service.
• WhatsApp/Meta: As Reem operates through WhatsApp, your messages (including those containing Google data) are transmitted through Meta's infrastructure according to WhatsApp's privacy policy.

Data Storage and Security

Storage:

• Google authentication tokens are encrypted and securely stored
• We cache minimal Google data (such as recently accessed contacts or upcoming calendar events) to improve performance and reduce API calls
• Cached data is encrypted at rest using industry-standard encryption (AES-256)
• We store only the minimum data necessary to provide the Service

Security Measures:

• All data transmission uses TLS/SSL encryption (TLS 1.2 or higher)
• Access to Google data is restricted to authorized systems and personnel only
• We implement role-based access controls and audit logging
• Regular security assessments and updates are performed
• Multi-factor authentication is required for team access to production systems

Data Location:
Your Google data may be processed and stored on servers located in the United States and other countries where our service providers operate.

Data Retention

Active Users:

• We retain your Google authentication tokens while you maintain an active connection to your Google account through Reem
• Cached Google data (contacts and calendar events) is automatically refreshed and older cached data is deleted according to our retention schedule (typically 7-30 days depending on usage patterns)

Account Deletion or Revocation:

• When you revoke Reem's access to your Google account or delete your Reem account, we immediately stop accessing your Google data
• Google authentication tokens are immediately invalidated upon revocation
• All cached Google data is deleted within 30 days
• Some data may be retained in encrypted backups for up to 90 days for disaster recovery purposes, after which it is permanently deleted

Legal Obligations:
We may retain certain data longer if required by law, regulation, legal process, or to protect our legal rights.

Your Rights and Controls

Revoke Access:
You can revoke Reem's access to your Google account at any time:

• Visit https://myaccount.google.com/permissions
• Find "Reem" in the list of connected apps
• Click "Remove Access"
• Alternatively, contact us at reem@myreem.ai and we will disconnect your account within 24 hours

What Happens When You Revoke Access:

• Reem immediately stops accessing your Google Contacts and Calendar
• You can continue using Reem's core features that don't require Google data
• Features requiring Google data (like "show my calendar" or "who is [name]") will no longer function
• All cached Google data is deleted within 30 days

Data Access and Deletion:
You have the right to:

• Request a copy of your Google data stored by Reem
• Request immediate deletion of your Google data (beyond standard retention)
• Request correction of inaccurate data
• Object to certain data processing activities
• Restrict processing of your Google data

Google API Services User Data Policy Compliance

Reem's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

This means:

• We limit our use of Google user data to providing and improving user-facing features that are prominent in Reem's user interface
• We do not transfer Google user data to third parties except as necessary to provide or improve user-facing features (such as AI processing), comply with applicable law, or as part of a merger, acquisition, or sale of assets with your affirmative consent
• We do not use or transfer Google user data for serving ads
• We do not allow humans to read Google user data unless:
  • We have obtained your affirmative agreement for specific support requests
  • It is necessary for security purposes (such as investigating abuse)
  • It is required to comply with applicable law (such as responding to legal process)

Beta Testing and Google Data

During Reem's beta testing phase, authorized members of our team may access user interactions for quality improvement purposes. When accessing conversations that include Google data:

• Access is limited to essential personnel only
• All team members are bound by confidentiality agreements
• Access is logged and audited
• Google data is handled with the same security standards as production data
• We do not use your Google data to train our own models

Changes to Google Integration

We may add support for additional Google services or modify our use of existing Google services in the future. When we do:

• We will update this Privacy Policy and notify you via email and/or a prominent notice in the Service
• If new permissions are required, we will request your explicit consent before accessing any new Google data
• You can choose to grant or deny new permissions independently
• If you decline new permissions, existing functionality will continue to work

Personal Information:

Except as otherwise stated in this Privacy Policy, we do not sell, trade, rent or otherwise share for marketing purposes your Personal Information with third parties without your consent. We do share Personal Information with vendors who are performing services for the Company, such as the servers for our email communications who are provided access to user’s email address for purposes of sending emails from us. Those vendors use your Personal Information only at our direction and in accordance with our Privacy Policy.

In general, the Personal Information you provide to us is used to help us communicate with you. For example, we use Personal Information to contact users in response to questions, solicit feedback from users, provide technical support, and inform users about promotional offers.

We may share Personal Information with outside parties if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to meet any applicable legal process or enforceable governmental request; to enforce applicable Terms of Service, including investigation of potential violations; address fraud, security or technical concerns; or to protect against harm to the rights, property, or safety of our users or the public as required or permitted by law.

Non-Personal Information

In general, we use Non-Personal Information to help us improve the Service and customize the user experience. We also aggregate Non-Personal Information in order to track trends and analyze use patterns on the Site. This Privacy Policy does not limit in any way our use or disclosure of Non-Personal Information and we reserve the right to use and disclose such Non-Personal Information to our partners, advertisers and other third parties at our discretion.

In the event we undergo a business transaction such as a merger, acquisition by another company, or sale of all or a portion of our assets, your Personal Information may be among the assets transferred. You acknowledge and consent that such transfers may occur and are permitted by this Privacy Policy, and that any acquirer of our assets may continue to process your Personal Information as set forth in this Privacy Policy. If our information practices change at any time in the future, we will post the policy changes to the Site so that you may opt out of the new information practices. During the beta testing period, authorized members of our team may access and review user interactions and related data for the sole purpose of improving Reem’s accuracy, responsiveness, and overall user experience. We do not sell or share this data with third parties for marketing or unrelated purposes, and all such access is subject to strict confidentiality and security controls.

We implement security measures designed to protect your information from unauthorized access. Your account is protected by your account password and we urge you to take steps to keep your personal information safe by not disclosing your password and by logging out of your account after each use. We further protect your information from potential security breaches by implementing certain technological security measures including encryption, firewalls and secure socket layer technology. However, these measures do not guarantee that your information will not be accessed, disclosed, altered or destroyed by breach of such firewalls and secure server software. By using our Service, you acknowledge that you understand and agree to assume these risks.

You have the right at any time to prevent us from contacting you for marketing purposes. When we send a promotional communication to a user, the user can opt out of further promotional communications by following the unsubscribe instructions provided in each promotional e-mail. You can also indicate that you do not wish to receive marketing communications from us by sending us an email at reem@myreem.ai. Please note that notwithstanding the promotional preferences you indicate by sending us an email, we may continue to send you administrative emails including, for example, periodic updates to our Privacy Policy.

As part of the Service, we may provide links to or compatibility with other websites or applications. However, we are not responsible for the privacy practices employed by those websites or the information or content they contain. This Privacy Policy applies solely to information collected by us through the Site and the Service. Therefore, this Privacy Policy does not apply to your use of a third party website accessed by selecting a link on our Site or via our Service. To the extent that you access or use the Service through or on another website or application, then the privacy policy of that other website or application will apply to your access or use of that site or application. We encourage our users to read the privacy statements of other websites before proceeding to use them.

Reem is currently in its beta testing phase. The Service is provided on an “as is” and “as available” basis, and may contain errors, bugs, or inaccuracies. By using Reem during beta, you acknowledge that the Service is still under development and agree that TheFairFactory, LLC shall not be liable for any loss, damage, or inconvenience arising from its use. We make no guarantees as to accuracy, reliability, or performance during this phase.

The Company reserves the right to change this policy and our Terms of Service at any time. We will notify you of significant changes to our Privacy Policy by sending a notice to the primary email address specified in your account or by placing a prominent notice on our site. Significant changes will go into effect 30 days following such notification. Non-material changes or clarifications will take effect immediately. You should periodically check the Site and this privacy page for updates.
